Zoom Webinar/Meeting Checklist (credit: Matt Shogren and a horde of techs) Start the Practice Session (webinar) or Meeting about 25 min prior to the scheduled start time Make sure "waiting room" is checked (Meeting / Security), only admit known panelists Panelists should have special join links for early Webinar access For each panelist/presenter: Check microphone sound Check that they can hear and aren't echoing Check camera angle and lighting Remind Moderator not to hit broadcast button, leave it to you Make Moderator co-host, and any panelists who need to screenshare (if no Moderator, then make at least one panelist/presenter co-host in case of disconnect) Discuss where after-panel discussions will be (Discord, Gather, Zoom-breakout) if any Remind moderator: Introduce the panelists To ask everyone to put questions in the Q&A (webinar) Any changes that need to be announced Pointing to participants on a screen doesn't work! Double check if you will be recording and/or streaming Just before go-live time: Turn off your camera Mute yourself Turn on Closed Captioning Start the livestream (if any) just before start of event (sometimes stream starts before broadcast button) Share up bumper slide (may need to do quickly after webinar "broadcast") Hit Broadcast button (in webinar) Disable waiting-room and Admit All (in meeting) Wait until participant numbers level off (Attendees side) Start your local or cloud recording, if you're using it Take down bumper share --> panel is live! Take a gallery-mode screen shot and upload to appropriate folder Spotlight as appropriate (affects everyone's view) Monitor chat [and Q&A], take note of average attendance numbers 45 min past the hour / 10 min before end: Chat message the moderator a 10 min warning 50 min past the hour / 5 min before end: Chat message panelists 5 min warning 53 min past the hour / 2 min before end, if needed: Chat message panelists 2 min warning 55 min past the hour/end of panel: Share up end bumper slide (you can give them up to another 3 - 4 min to wrap at your discretion) End meeting for all Sign out Zoom client so that someone else can use the account Report session completion into backchannel
